Treat these as directional targets, not laws; portfolio type moves every number.

Staffing ratios

  • Doors per total employee: healthy operators typically land between 40 and 70 doors per full time team member across all functions. Below 40, margins suffer; above 80, service usually does.
  • Doors per APM: 100 to 150 for scattered single family, 150 to 250 for small multifamily, 200 to 300+ for concentrated multifamily.
  • Maintenance coordination: one dedicated coordinator per 400 to 800 doors depending on property age.
  • Accounting: one accounting seat per 500 to 1,000 doors, depending on owner count and reporting complexity.

Service level benchmarks

  • First response to resident tickets: one business hour is the 2026 standard for top quartile operators.
  • Maintenance scheduling: same day for all requests, immediate for emergencies.
  • Lead follow up: under one hour; leasing conversion drops measurably after that.
  • Month end close: owner statements out within five business days.
  • Renewals: outreach at 90, 60, and 30 days on 100 percent of expiring leases.

Cost per seat in 2026

  • US hires, fully loaded: $3,600 to $5,500 per month for admin through APM roles; more in coastal markets.
  • Managed offshore (Philippines): $1,200 to $2,400 per month all inclusive.
  • Blended teams: the emerging standard is one local senior manager supported by two to three remote specialists, which drops blended cost per door 30 to 50 percent while improving response benchmarks.

Score yourself honestly on ratios, service levels, and cost per seat.
