How to Set Up AppFolio User Permissions for Offshore Team Members

The most common question property management owners ask before hiring offshore staff is not about skills. It is about access. Can I safely let someone I have never met in person work inside my AppFolio account? The answer is yes, if you set permissions up deliberately. Here is how.

Start with least privilege

AppFolio lets you control what each user can see and do. The rule is simple: grant the minimum access the role requires, then expand only when a task demands it.

  • Leasing assistant: guest cards, applications, listings, and communications. No access to bank accounts or owner records.
  • Maintenance coordinator: work orders, vendor records, and resident communications. No accounting functions.
  • Collections specialist: resident ledgers, receipts, and communication tools. No vendor payments or bank reconciliation.
  • Accounting assistant: AP entry, reconciliation, and reporting, with payment approvals reserved for your local controller.

Non negotiable security settings

  • Individual named accounts. Never share logins. Every action should trace to one person.
  • Two step verification on every account, no exceptions.
  • Separate approval rights. The person who enters a payable should not be the person who approves it. Keep approvals with your local team at first.
  • Offboarding checklist. The day someone leaves a role, their access ends. Write this into your SOP.

Add governance around the software
