How to Run Collections in AppFolio: A Step by Step Delinquency Workflow

Delinquency does not fix itself. Here is a structured AppFolio collections workflow that lowers past due balances without burning out your team.

Ask any property management owner what erodes NOI quietly, and delinquency is near the top of the list. The problem is rarely policy. Most companies have a late fee schedule and a notice process. The problem is consistency: collections work is repetitive, uncomfortable, and easy to postpone. Here is a workflow that removes the guesswork.

Day 1 to 3: Monitor and post

Rent posts on the first. Your collections owner reviews the AppFolio delinquency report every morning, confirms payments posted correctly, and flags anything unusual, like a partial payment or a returned payment. Clean ledgers come first; you cannot collect against numbers residents do not trust.

Day 3 to 5: First reminder

A friendly, consistent reminder goes to every past due resident: portal message plus text where permitted. Tone matters. The first touch assumes good faith and makes payment easy with a direct portal link.

Day 5 to 10: Late fees and second touch

Late fees post per your lease terms, automatically where AppFolio settings allow. The second touch is a phone call. Calls resolve more balances than any notice, because they surface the real situation: a lost job, a portal issue, a dispute. Log every conversation in AppFolio.

Day 10 to 15: Formal notice

Serve the notice your state requires, tracked in AppFolio with dates and delivery method documented. This step must follow your local rules exactly, which is why the workflow should be written as an SOP reviewed by your attorney, then executed the same way every month.

Ongoing: Payment plans and escalation

Document payment plans in writing, track them weekly, and escalate to your eviction process only when the plan breaks. Every week, leadership sees one number: total delinquency and its trend.

Who should run this

This workflow fails when it is someone's fourth priority. It succeeds when one person owns it daily. Many PM companies now assign delinquency to a dedicated remote rent collections specialist who runs the entire cadence inside AppFolio on US hours: monitoring, reminders, calls, documentation, and reporting, while your local team handles anything that requires a legal decision.

Revaya collections specialists come with property management experience and cost 50 to 70 percent less than a local hire, fully managed. Book a free fit call to see what a dedicated collections desk would look like for your portfolio.
