Ask ten property management owners how many doors one assistant property manager can handle and you will get ten answers, because the honest answer is: it depends on portfolio type, systems, and how the role is scoped. But "it depends" is not useful, so here are realistic working ranges.
The ranges
- Scattered site single family: 100 to 150 doors per APM. Every property is its own location, owner, and quirk, which multiplies coordination work.
- Small multifamily portfolios: 150 to 250 doors per APM.
- Concentrated multifamily: 200 to 300+ doors per APM, because shared systems, vendors, and buildings compress the workload.
These assume a full workload APM: resident communications, work orders, leasing support, delinquency follow up, and renewals. Narrow the scope and the ratio rises.
What moves the number
- Software discipline. A clean AppFolio or Yardi setup with templates, automations, and accurate data can add 25 percent to capacity. Messy data subtracts more.
- Property age and condition. Older stock generates more work orders per door.
- Resident profile. High touch portfolios generate more communication volume.
- Role clarity. APMs who also do bookkeeping, marketing, and inspections hit capacity far earlier. Specialization raises throughput.
- Support structure. A dedicated maintenance coordinator or collections specialist behind the APM changes the ratio entirely.
The trap: running hot
Most companies discover their true ratio by exceeding it. The signs: response times slipping past a day, renewals going out late, delinquency drifting up, and your APM working evenings. By the time you see those signs, residents and owners have seen them for weeks. Staff at 80 percent of theoretical capacity, not 110.
How remote APMs change the math
At $1,900 to $2,400 per month all inclusive versus $5,400+ fully loaded for a local hire, remote APMs let you staff to the healthy ratio instead of the desperate one.
