Interview Questions to Ask Before Hiring a Remote Assistant Property Manager (With Scorecard)

Skip the generic questions. These scenario based interview questions reveal whether a remote APM candidate can actually run your portfolio.

Resumes for remote property management roles all look similar: years of experience, software names, good English. Interviews are where you separate operators from applicants. Here are the questions that actually predict performance, with a scoring approach you can run in 45 minutes.

Scenario questions (the core of the interview)

1. "A resident reports a water leak at 2 pm on a Tuesday. Walk me through exactly what you do in the first hour." You are listening for: urgency triage, work order creation, vendor dispatch, resident communication, and escalation to you only if thresholds are exceeded.

2. "Rent was due five days ago and a longtime resident has not paid for the first time ever. What do you do?" Strong answers balance policy consistency with judgment: reminder sent, phone call made, situation documented, escalation if a plan is needed.

3. "You have 12 open work orders, 5 guest cards to follow up, and an owner asking for a report. How do you prioritize?" There is no perfect answer; you are testing whether they have a prioritization system at all.

4. "Tell me about a time a vendor stopped responding. What did you do?" Real stories with specific follow up cadences signal experience. Vague answers signal none.

Software depth checks

5. "In AppFolio (or your PMS), how do you process a lease renewal end to end?" Follow up: where do you check the current lease terms, and what happens after signature?

6. "What weekly reports would you pull for me without being asked?" Watch for work order aging, delinquency trend, and leasing pipeline.

Communication tests

7. Written test: have them draft a response to an angry resident email in 10 minutes. This one exercise predicts more than any question.

8. "Explain a security deposit deduction to a resident who disputes it." Tone, clarity, and policy grounding.

The scorecard

Rate each answer 1 to 5 on three axes: process (do they have a system), experience (specifics, not generalities), and communication (clear, calm, professional). A hire needs 4+ average on all three. One weak axis is a training plan; two is a pass.
