Is It Safe to Give Offshore Staff Access to Your PMS? A Security Checklist for PM Owners

The security question every PM owner asks before going offshore, answered with a practical checklist you can implement this week.

Every property management owner considering offshore staffing hits the same wall: our PMS holds resident data, owner funds data, and bank information. Is it really safe to give someone overseas access? The honest answer: it is as safe as the system you build around it. Thousands of PM companies do it securely every day. Here is the checklist that separates safe setups from risky ones.

Before access is granted

  • Signed NDA and confidentiality agreement with the individual, not just the agency.
  • Identity verified through the staffing partner's vetting process, with background checks where available.
  • A managed or controlled device with automatic updates, endpoint protection, and disk encryption.
  • Written SOPs for every workflow they will touch, so access maps to documented tasks.

Access design

  • Named individual accounts. Shared logins destroy accountability. Every PMS action should trace to one person.
  • Least privilege. Leasing roles get leasing modules. Maintenance roles get work orders. Nobody gets bank access by default.
  • Two step verification on the PMS, email, and every connected tool.
  • Separated duties. Whoever enters payables should not approve them. Keep approvals with your local controller at first.

Ongoing governance

  • Activity monitoring. Review audit logs monthly and after anything unusual.
  • Quarterly access reviews. Trim permissions that no longer match duties.
  • Security training. Phishing awareness and password hygiene, refreshed regularly.
  • Instant offboarding. A written checklist that kills all access the day a role ends.

What a managed partner adds

You can build all of this yourself with a freelancer, but you have to build it, enforce it, and audit it. A managed staffing partner brings the framework: at Revaya, NDAs, device governance, two step verification, least privilege provisioning, activity oversight, and documented SOPs are standard on every placement, with a 24/7 security team behind them.

The bottom line

The risk is not offshore staff. The risk is unmanaged access, and it applies equally to local hires. Run the checklist above and your remote team member is often the most tightly governed user in your PMS.
