To hire Procore administrative support, define which project records the person will maintain, which follow-up they will own and which decisions they must escalate. Then use a short work sample to check their accuracy and judgment. A dedicated coordinator can support RFIs, submittals and daily-report follow-up while your project team retains approvals.

A project manager can lose an afternoon chasing an unanswered RFI, a missing document and an unconfirmed delivery. Adding support helps when the new person has a clear handoff: what to check, whom to contact, when to escalate and what a complete update looks like.

This guide gives contractors a practical role brief, an ownership table and a small assessment they can adapt before interviewing.

Define the Procore administrative support role

Start with one active project and list the work that repeatedly returns to the PM. Separate maintaining a record from deciding what the record means for the project.

WorkflowCoordinator's responsibilityClient responsibility
RFIsMaintain dates and owners, follow up and prepare an open-items summary.Review technical questions, authorize responses and decide project implications.
SubmittalsMaintain the register, check that required information is present and track outstanding reviews.Make technical reviews and approvals through the agreed process.
Daily reportsCollect missing inputs, check completeness and flag conflicting records.Verify field conditions, installed quantities and the accuracy of site inputs.
Purchase order follow-upOrganize records and request confirmed supplier updates.Approve purchasing decisions, commitments and changes.
Project reportingCompile agreed information and explain which items need a response.Set priorities and authorize corrective action.

This table is a starting scope, not a fixed division of work for every contractor. Your contracts, team structure and account configuration determine the actual handoffs.

Procore documents separate RFI workflows and submittal workflows. Ask candidates about the specific actions they have performed, the information they checked and who reviewed their work.

Write a brief that a candidate can respond to

A useful brief names the work and its boundaries. For example:

We need a dedicated construction coordinator to maintain RFI and submittal registers, follow up on missing project information and prepare a concise open-items update. The coordinator reports to our PM, works our agreed office hours and uses our project standards. Technical responses, approvals and commercial commitments stay with our authorized team.

Add the project type, trade context, enabled Procore tools, required schedule and expected workload. State which experience is essential on arrival and which company processes you will teach.

If the position must also interpret job costs or reconcile accounting records, describe that work separately. Experience maintaining a log does not establish experience analyzing labor productivity or forecasting cost. The construction project coordinator role is a useful starting point for coordination and document follow-up.

Use a small work sample before hiring

Give every candidate the same fictional records and instructions. A short exercise can ask them to prepare an update for the PM without requiring access to a live project.

For an exercise reviewed on October 21, use these four situations:

RecordInformation suppliedWhat to look for
RFI-014Due October 20; open; responsible owner missing.Identifies the overdue item and missing owner, then proposes a clear escalation.
SUB-022Register references revision A; attached file is marked revision B.Flags the mismatch and asks which revision is authoritative before changing the record.
PO-031Shipment expected October 18; no confirmation; materials needed October 24.Requests a confirmed update and communicates the approaching need date.
Daily reportWork described for October 20; labor hours absent.Requests the missing input from the field owner instead of inventing a value.

Ask for a corrected tracker, a five-sentence PM update and any questions they would raise before acting. Discuss their reasoning during the interview. The completed task should make it easy to distinguish known facts, missing inputs and proposed next actions.

A simple suggested scorecard gives each of five areas zero to two points: record accuracy, exception detection, ownership and escalation, approval awareness, and written clarity. Define the scoring examples before reviewing candidates. The ten-point total helps organize a discussion; it is not a validated pass mark or an automatic hiring decision.

Set up access and daily handoffs

Give the hire access to the projects and actions their responsibilities require. Procore's permissions guidance distinguishes company and project access and recommends limiting access to the work a user needs to perform. Your account administrator should configure the appropriate permissions.

During onboarding, agree on the source record for each workflow, the manager who resolves uncertainty, the update frequency and the trigger for escalation. Review a few completed updates together before broadening the workload.

Track practical outcomes such as records awaiting an owner, follow-ups without a next action and updates returned for correction. Establish your own baseline before setting improvement targets.

Hire around the work your PM needs covered

Revaya recruits dedicated full time professionals against the requirements you define, then handles HR, payroll, benefits and ongoing people support. Your company assigns the work, provides access and reviews output. Exact Procore experience is assessed against the agreed scope.

Bring a sample tracker and a list of recurring tasks to the hiring discussion. That gives recruiting a clearer brief and gives your PM a better basis for assessing fit.
